1. Create a calendar for the crew
Use Rinelo as employee scheduling software for dated crew jobs. Create a calendar with a name people recognise, such as “North crew”, and keep teams in separate calendars when their weeks differ. Add jobs as events with start and finish dates, a time or all-day setting, and the relevant site details.
Name colour labels for your work: installations, inspections or deliveries. The selected calendar is where a new event is saved, so check its name before adding the booking.
2. Invite contributors — or share a view-only link
An online shared calendar keeps the current plan available to invited members when they are connected. Use Members to invite someone by email; they sign in with that address. Set whether they may add or edit events, delete their own or others' events, and view all labels or only selected ones.
Anyone with a view-only link can read the whole shared calendar, including event comments, photos, videos and files, without an account. They cannot add, edit, delete, comment or upload. Member label permissions are separate: they do not restrict what the link reveals.
Links expire 30 days after creation. The owner can choose “Turn off link” to end access sooner. Open or refresh the link to see current changes; an already-open guest screen does not update in real time.
Members and permissions3. Plan recurring jobs, then adjust the booking
Use recurring events for regular work. When the plan changes, open the relevant booking and edit it if your permissions allow. Check the date and finish time, then save the change. Add a comment explaining the new arrangement so the reason stays with the event.
4. Keep comments and files with the work
Open the event thread to leave a comment or attach a photo, video or file. Keep the revised plan beside the booking rather than only in a separate message. Contributors need the appropriate calendar permissions; view-only visitors cannot contribute.
Comments and attachments are included on Free. Attachment storage is 250 MB per account, across its calendars, not 250 MB for every job. Check your storage meter before uploading large videos. Pro increases storage to 5 GB and removes ads.
Common crew-calendar questions
Does an invited contributor need an account?
Yes. Invite members by email; they sign in with the invited address to access the calendar. The owner controls event permissions and label visibility. Anyone with a view-only link can read the whole calendar and its event comments, photos, videos and files without an account, but cannot contribute. It expires after 30 days, or sooner if the owner chooses Turn off link. Open or refresh it for current changes; already-open guest screens do not update in real time.
Can we use Rinelo as a free shared calendar app?
Yes. Free includes unlimited shared calendars and members, comments, and photos, videos and files within 250 MB per account, with ads. Member permissions and storage limits still apply. Pro removes ads and increases storage to 5 GB; Shift Tracking is separately paid and requires Pro.
Can our team use phones and web browsers?
Yes. View your shared calendar online in a web browser, or sign in to Rinelo on iPhone and Android. Use the same account to access your calendars on another device. Online changes sync between members; notifications depend on your device or browser permissions.
What should I look for when comparing apps for tradies?
When comparing job scheduling apps, try a real week of work: add job dates, site details and recurring bookings, then check what members can see and edit. The best shared calendar app for your crew depends on its permissions, sharing and storage needs. Rinelo includes planning, comments and files on Free; attendance recording is a separately paid Shift Tracking add-on that requires Pro.
Can I use Rinelo as a rostering app for crew jobs?
Rinelo's calendar-based staff scheduling software also works as roster software for dated crew jobs. Use it as a free roster app: add recurring bookings and colour labels, then invite members and choose their permissions. The calendar shows planned work; optional Shift Tracking records worked shifts separately and is a paid add-on that requires Pro.
Do we need paid tracking to share a calendar?
No. Planning and sharing are available on Free. Shift Tracking is separately paid and requires Pro. The calendar owner's tracking access and member permissions govern who can clock in or manage timesheets.
