Clocking in and timesheets
Use Rinelo as an app for clocking in and out: record worked shifts, check GPS status and review timesheets. Paid Shift Tracking requires Pro.
Using time tracking software for employees
Rinelo's timesheets app keeps recorded working hours separate from planned calendar bookings. This guide explains how to track employee time, review hours and export reports when your role allows it.
- Shift Tracking is Rinelo's separately paid employee time tracking program and requires Pro. Free calendar planning and sharing do not require it.
- The calendar owner's tracking access and your member permissions determine which clock and timesheet controls you can use. To clock your own shifts as a member, the owner must include you as a tracked worker. Timesheet management is a separate owner-granted permission.
- A calendar booking shows planned work. Adding an event does not automatically record a worked shift.
Start and finish a shift
- 1Open the job event you are working on and find Shift clock.
- 2If requested, use Allow location and follow any job-site or location confirmation prompts shown on screen.
- 3Tap Clock in to start recording. An arrival reminder can prompt you, but it does not replace your clock-in tap.
- 4When finished, return to the event and tap Clock out. Answer any break questions so the record reflects your shift.
Understand GPS and leaving the site
Read the location status before clocking in. If a GPS fix is unavailable and an unverified clock-in is recorded, that status remains explicit; it is not proof of a verified location.
Geofenced departure can support automatic clock-out, subject to permissions and device readiness. If you leave while still working, follow the on-screen options and explain the reason for review. Do not assume every departure is detected or that the clock always stops automatically.
Review recorded hours
When using time tracking software for employees, check recorded hours against the planned work. This also applies to timesheets for construction workers across the selected calendar's jobs: review planned dates, recorded hours and location exceptions separately.
If a clock time is wrong, ask the calendar owner or an authorised tracking manager to review it. Managing time tracking does not grant access to payroll exports or Xero controls.
- 1Open the account menu and choose Timesheets when that option is available for your role.
- 2Choose Last 7 days, Last fortnight, Last 30 days, Last 3 months or a custom date range.
- 3Check the recorded shifts and breaks. Workers see their own rows; the calendar owner and members with the appropriate management permission can review the records their role allows.
Download a report
- The calendar owner can use Payroll spreadsheet (XLSX) or Download PDF for the selected timesheet period.
- A worker with ordinary tracked-worker access can use Download my timesheet PDF for their own records.
- An activity report lists calendar changes and comments. It is a different report from recorded shift timesheets.
What Send hours to Xero does
Only the calendar owner can connect Xero or send hours. Linking a Xero organisation does not itself send hours. Complete the required configuration and earnings-rate mappings before exporting.
Send hours to Xero creates draft timesheets from eligible finished shifts, with a review step before sending. Pay rates and payroll remain in Xero; Rinelo does not pay the crew.
If the clock or timesheets are missing
- Check that you selected the correct calendar and signed in with the account that has access.
- Ask the calendar owner to check their Shift Tracking access, your tracked-worker status and your member permissions.
- For location problems, read the permission or job-site message on screen and follow its instructions. A missing control is not fixed by adding a calendar event or upgrading an unrelated member account.
